This Privacy Policy describes how Ace Distributor ("we", "us", "our") - a general order supplier registered in Pakistan and headquartered at 88-N, Block #02, P.E.C.H.S, Karachi - collects, uses, shares, and protects information about buyers, enquirers, and the organisations they represent.

By requesting a quote, placing a purchase order, or otherwise engaging with our services, you consent to the practices described here.

Section 01Information we collect

When you contact us for a quote, sign a purchase order, or begin a supply engagement, we may collect:

• Business identifiers: organisation name, address, NTN, STN, and public-procurement registration details where applicable.
• Contact details: your name, designation, email address, phone number, and the department you represent.
• Order information: the items, quantities, delivery locations, target dates, specifications, and technical drawings you share as part of an RFQ or PO.
• Payment details: bank account information, cheque details, and tax withholding certificates required to complete invoicing.
• Communications: emails, WhatsApp messages, phone-call notes, and any documents you share with us during the engagement.

We do not collect debit or credit card details, and we do not knowingly collect personal information from anyone under 18.

Section 02Why we collect it

• To respond to enquiries and issue written quotations.
• To process purchase orders, source products, and coordinate delivery.
• To raise tax-compliant invoices, receive payments, and issue withholding-tax documentation.
• To maintain the records that Pakistan's tax and procurement rules require us to keep.
• To provide after-sales support, replacements, and warranty coordination.
• To improve our sourcing, pricing, and service quality over time.

Section 03Who we share it with

We treat your information as confidential and share it only with parties who need it to fulfil your order:

• Manufacturers and upstream suppliers - limited to product specifications, delivery details, and any tender-required certifications.
• Logistics partners - for pick-up, freight, and last-mile delivery to your site anywhere in Pakistan.
• Auditors, tax consultants, and legal advisors - where required to maintain compliant financial records.
• Government authorities - where disclosure is required by law, including the Federal Board of Revenue (FBR), procurement bodies, and courts of competent jurisdiction under the Prevention of Electronic Crimes Act, 2016 or the Public Procurement Rules, 2004.

We do not sell your information to third parties for marketing purposes.

Section 04How we protect it

We apply reasonable administrative, technical, and physical safeguards to protect the information you share - including restricted-access filing, password-protected devices, secured cloud storage, and confidentiality obligations for our staff and partners.

No system is perfectly secure. If we ever become aware of a data incident that affects your information, we will notify you promptly and in line with any applicable Pakistani law.

Section 05How long we keep it

We retain business records - including quotations, purchase orders, invoices, and tax documentation - for the period required under Pakistan's income tax and sales tax laws (currently a minimum of six years from the end of the relevant tax year). Records related to government tenders and public-sector supply are retained in line with the Public Procurement Rules, 2004 and any specific contractual obligation.

General enquiries that do not proceed to a purchase order are retained for up to 24 months and then deleted or anonymised.

Section 06Your rights

You may, at any time:

• Ask us what information we hold about you or your organisation;
• Request that we correct information that is inaccurate or incomplete;
• Request deletion of information - subject to legal, tax, and record-keeping obligations that require us to retain it;
• Withdraw consent for further marketing or non-transactional communications from us.

Section 07Cookies and website tracking

Our website is a simple informational site. We do not currently use analytics cookies, advertising trackers, or third-party pixels. Essential technical logs (such as basic server logs) may be recorded by our hosting provider for security and diagnostic purposes.

Section 08Communications

We may contact you in relation to a quote, an order, an invoice, or an after-sales matter. If you no longer wish to receive non-transactional communications from Ace Distributor, please reply to the email or write to acedistributor10@gmail.com.

Section 09Cross-border transfer

Ace Distributor operates exclusively within Pakistan. Where a manufacturer, freight partner, or reference document originates outside Pakistan, we share only the minimum information needed to complete the specific transaction.

Section 10Governing law

This Privacy Policy is governed by the laws of the Islamic Republic of Pakistan. Any disputes arising in connection with this Policy are subject to the exclusive jurisdiction of the courts at Karachi.

Section 11Changes to this Policy

We may update this Policy from time to time to reflect changes in law or in our operations. The "Effective date" at the top will always show the version currently in force. For material changes, we will notify existing clients directly.
